Send product information with the sample
Describe the product, the intended fill quantity and any behaviour that affects dosing, such as viscosity, foam, particles or changes with temperature. State the conditions in which the product will arrive and be handled. Include relevant handling and safety information rather than asking the team to infer it from appearance. Identify which sample is representative of production and highlight differences that still need assessment.
Trial the complete bottle and closure combination
Provide the actual bottle, cap and any liner, dispensing part or tamper-evidence component. Identify neck and closure specifications, not only the nominal bottle capacity. Show the intended label and finished presentation if labelling is in scope. Compatibility needs to be reviewed for the combination and process; a cap that fits an empty bottle does not settle filling, sealing, handling or product-contact requirements.
Define the fill check before comparing results
State the target and the proposed acceptance criteria, then agree how fill quantity will be checked. A liquid quantity described in millilitres should not be treated as the same numerical mass in grams without relevant product information. Discuss the checking method, recording and the action taken for an out-of-specification result. Required legal, customer or product specifications should be supplied by the responsible owner for review.
Look beyond the filling stroke
Assess the completed pack after closing and any agreed handling steps. Review drips, foam settlement, closure application, label position and the way filled bottles enter an outer case. Identify observations and checks not yet completed. This distinguishes a visible filling demonstration from acceptance of the whole packing sequence. Record the actual product, packaging and conditions used so the trial outcome has a clear context.
Use the outcome to define the production enquiry
Provide quantities by product and bottle variant, the required dates and which filling, capping, coding or packing stages are requested. Identify material supply and arrival responsibilities, any setup or cleaning questions, and how remaining product will be reconciled. Ask for written confirmation of the proposed scope, availability and commercial terms. If production materials differ from the trial, discuss the change before treating the trial as approval.

Can a filling trial establish a production rate?
A trial can provide evidence under its recorded conditions. Discuss the whole production sequence, materials, setup, cleaning and variant changes before using the result to plan a campaign. Confirm the proposed operating basis directly with the team.
Does filling a sample confirm product shelf life?
A filling sample does not by itself establish shelf life or every product-contact requirement. State the assessments and responsibilities that your product needs, and identify which checks are included or remain separate.
